Frequently Asked Questions

Everything you need to know about keeping your contact database accurate, and how we protect it along the way.

What MemberVerify AI Does

What is MemberVerify?

MemberVerify AI is a contact data quality service for any organization that runs on a contact database. It checks every contact against the open web, finds what's changed, and surfaces the current details so you can reach the people who matter. Anything it can't confirm with confidence comes to you for review, so nothing changes in your records without your say-so.

What does MemberVerify do?

It checks every contact in your database against the open web, finds what's changed, and surfaces the current details, so the people you're trying to reach are actually reachable.

How is this different from email verification tools?

We verify the person, not just the email address. Most tools only confirm whether an email address is technically valid. MemberVerify verifies the person, not just the address. When someone changes jobs, moves, or updates their info, we find where they went and update the record instead of just flagging a bounce.

What information does MemberVerify update?

Names, job titles, employers, email addresses, and mailing addresses. If a contact's details have changed, we surface the current information so your records reflect reality.

Where does MemberVerify get its information?

From the open web and first-party sources: a person's employer, official directories, professional profiles. The same places you'd check if you had time to research every contact by hand. We prioritize current, authoritative sources over stale data brokers.

CRM Integration & Setup

Which databases does MemberVerify work with?

Whatever CRM or database you use, we can connect to it. MemberVerify works with your CRM or member database, whatever you use. Whether it's a major platform or a niche association management system, we can connect to it. And if a direct integration isn't already in place, we'll build it. Just tell us what you're on.

How does the free assessment work?

We run a free analysis on 100 of your contacts, no cost and no obligation, so you can see exactly what's outdated before deciding anything.

How do I get started, and how much work is it on my end?

Very little. You connect your CRM (or send a sample list), and we handle the rest. The free 100-contact assessment takes the work off your plate entirely. You just review the results.

What happens to contacts you can't find?

Some people are genuinely hard to find: a very recent job change, or too little on file to identify them with confidence. We don't guess on those. We flag them so you know which records need a closer look, and your existing information stays put as the best starting point for next time.

Ongoing Value & Pricing

How often does contact data go bad?

Marketing databases decay by about 22.5% a year (HubSpot) as people change jobs, emails, and addresses. That's why verification works best as an ongoing process, not a one-time cleanup.

Is this a one-time cleanup or an ongoing service?

Both work, but ongoing is where the value is. Since data decays continuously, a one-time cleanup starts going stale the day after. Most organizations run MemberVerify on a regular schedule, so their database is accurate when they actually need it, not just once.

Who is MemberVerify for?

Any organization that relies on a contact database: associations, nonprofits, and businesses alike, anyone whose outreach depends on reaching real people.

How much does MemberVerify cost?

It depends on the size of your contact list and how often you run it. The best place to start is the free 100-contact assessment. You'll see exactly what's outdated, and the value, before spending a dollar. From there, we'll size a plan to your list. Get in touch to get started.

Data Privacy & Trust

Could MemberVerify overwrite information that's already correct?

No. Nothing changes without clear evidence, and you always have the final say. We only change a record when the evidence clearly supports it. Anything uncertain is set aside for your review rather than written automatically. You always decide what changes.

How do you make sure you've found the right person?

Common names are the hardest part of this work. There are a lot of "John Smith"s. Before we update a member, we confirm the information actually belongs to your member, using details you already have on file: their organization, location, or email. If we can't confirm it's the same person, we don't make the change.

What happens to the records you're not sure about?

They go to your review queue with everything we found attached, so a person makes the final call. You can confirm or dismiss each one in seconds, and you never have to hunt for the reasoning, because the evidence is right there.

Why did MemberVerify leave some records unchanged instead of updating them?

That's by design. When we can't verify a change with confidence, we'd rather leave your existing information in place than introduce a wrong one. Sometimes a member's new role is just too recent to show up anywhere we can confirm it yet, and in that case, their existing record is still the best starting point for catching up with them down the road. We treat your member database the way you do, as something too important to overwrite on a guess.

Is MemberVerify ever too careful?

Occasionally, yes. We'll flag a record you'd have been perfectly comfortable letting us update on our own. We think that's the right trade. Confirming a flagged record takes a click; a wrong change to a member's record can mean an embarrassing email, a missed renewal, or hours of cleanup. We'd rather hand you a quick decision than make a confident mistake.

Do you change my records automatically, or do I approve the updates?

You set the rules. If you choose, we update your CRM automatically only when we're highly confident (85% or higher) that we've found the right person and the correct new information. Anything we're not fully certain about comes to you for review, so nothing is written on a guess. Or you can keep everything manual, where every change waits for your approval.

Is my member data safe?

Yes. We never sell or share your data, and you can delete it anytime. Your data is used only to update your records. We never sell it, share it, or add your members to anyone else's list. You own your data, and you can ask us to remove it at any time.

Where is my data stored, and who can see it?

On secure US-based servers, walled off per customer, and visible only to your team. Every customer's data is fully isolated from every other's. There's no shared pool, and no one outside your organization gets access.

Is my data encrypted?

Yes, both in transit and at rest. Your data is encrypted while it moves to and from us and while it's stored. The credentials that connect us to your CRM get an extra layer of encryption on top of that.

How long do you keep my data?

We automatically delete it after 30 days. Your contact data is permanently removed from our systems after 30 days, and you can ask us to delete it sooner at any time. We don't keep a standing copy of your membership.

Do you handle health, payment, or other sensitive data?

No, and we don't want it. MemberVerify works with professional contact details only (name, employer, title, work email, work location). We never request or store health information, payment or card data, Social Security numbers, or passwords.

Do you use AI models developed in China?

Some of our processing uses open-weight models that originated at Chinese labs, but your data stays on US servers and is never sent to China. "Open-weight" means the model is published software anyone can run on their own infrastructure. It is not a hosted Chinese service. What matters for your data is the model (the software) versus the endpoint (who runs it and where): we never call a Chinese lab's hosted API. We run these models on DeepInfra, a US-based provider (Palo Alto, California) on US infrastructure, and our higher-assurance backstop model is Anthropic's Claude (also US-based). Your members' data is processed under US law on US servers and is never sent to servers in China. We also require that our AI providers do not train on your data.

Can I review your security details before signing?

Yes. You can read our full Security & Privacy overview anytime, and we'll provide detailed documentation and a Data Processing Agreement on request. We run on SOC 2 Type II-certified infrastructure (Render).
